Administrator for Internal Services
Internal Services is a central support function responsible for administrative processes related to suppliers, finance, and case management. The function is part of the management unit belonging to the Department of Property and Security. The department is part of the operational area of governance and operational support, which is responsible for the financial management, procurement, and purchasing of the Swedish Agency for Governmental Services, as well as property and security issues.
The management unit is broadly responsible for:
- Fire protection coordination and systematic fire protection work (SBA)
- Management and maintenance of the agency's premises
- Internal service functions including handling of fault reports and orders
- Renovations and new constructions in existing premises
- Security coordination (alarms, access, etc.)
- Service deliveries of cleaning, mail, coffee machines, consumables, etc., and associated contract supply
The unit has employees in Gävle and Östersund, and this position is located in Gävle.
Main Responsibilities
The role of administrator entails a qualified administrative responsibility with a focus on supplier management, invoice review, case management, and support for core operations. With us, you have a combined operational and development-oriented role and have the ability to switch between operational handling and a more analytical perspective, where you contribute to developing working methods and processes.
You belong to a group of administrators who work together to achieve efficiency, quality, and delivery reliability. The position also includes monitoring, planning for, and coordinating suppliers' and visitors' access to our premises. You will be part of an organization where development is constantly ongoing, and you are expected to actively participate in this development work. It is important that you are prepared to assist and support others when needed.
The work is characterized by service, collaboration, and a holistic view. We have many points of contact within the agency and function as a link between core operations, suppliers, and other internal functions. Through clear working methods, good dialogue, and a proactive approach, we contribute to the agency's ability to focus on its mission.
Qualifications
We are looking for someone who has:
- Relevant post-secondary education in areas such as finance, public administration, or other education that the employer deems relevant for the position
- Worked at least four years in the last five years in a service role where you have informed and guided customers
- Experience in administrative work within finance, supplier management, and/or case management in the property sector
- Experience working in digital case and financial systems
- Good knowledge of the Office suite, especially Excel
- Driver's license (B)
Furthermore, you should have the following abilities:
- Be service-oriented with a professional approach
- Create good collaboration with other parties, both internally and externally
- Work in a structured and meticulous manner with high quality
- Independently take responsibility for your tasks and drive your work forward
- Ability to identify development needs
- Initiate improvements in the work
- Good ability to communicate in Swedish, both orally and in writing
Additionally, it is advantageous if you have:
- Experience working within a government agency or other public sector
- Experience in contract management
- Experience working with process development or improvement work
- Knowledge of regulations related to public administration, such as public procurement or internal governance and control

The employment is 100% and permanent. We usually apply a six-month probationary period. The position is located in Gävle. The possibility of remote work is limited. Travel may occur. This position requires a security clearance according to the Security Protection Act. As an employee, you may also be placed in a military position based on the needs of total defense.
